2. Scope
This Privacy Policy describes how the Ninjalytics mobile application (the “App”) processes data when you connect it to your own WordPress site (for example a WooCommerce or Easy Digital Downloads store). The App is intended for store owners and administrators only.
By installing or using the App, you agree to this Privacy Policy.
3. What the App Does
Ninjalytics connects to your WordPress site to read order and product related data and to display reports and statistics on your device. The App does not provide hosting for your store and does not replace your own store privacy policy.
4. Data Accessed from Your WordPress Site
To generate reports, the App may access the following categories of data from your WordPress site:
- Connection details: store URL, API key, application password, or other access token that you explicitly configure.
- Order and product data: order IDs, products, quantities, prices, discounts, currencies, order status, payment and shipping methods, coupons used, and other product/order level fields.
- Customer data stored with the order: for example customer name, email address, billing and shipping addresses, phone number, and any additional order/product fields you collect in your store.
- Metadata and custom fields: tags, categories, custom fields and other metadata that you configure for products or orders and use in reports or filters.
The App only accesses data that is needed to display and calculate your reports, based on your configuration.
5. Sensitive and Customer Data
Depending on how you configure your store and what fields you collect from your customers, the order data may include personal data and, in some cases, sensitive data (for example if you choose to store such information in order notes or custom fields).
- We, as the App developer, do not use this data for our own purposes and do not store a separate copy of your orders or customer data on our servers.
- The App reads data directly from your WordPress site and keeps it on your device only (for example in local cache) as needed for reporting.
- You, as the store owner, remain the data controller for your customers data and are responsible for having a lawful basis to process it and for informing your customers.
If you store sensitive or special category data in your orders, this is done under your own responsibility and under your own store privacy policy.
6. Device and Technical Data
The App may also process basic technical data from your device and from distribution platforms such as Google Play, including:
- Device model and operating system version
- App version and basic usage information
- Anonymous crash logs or error diagnostics, where enabled by the platform
This technical data is used only to keep the App secure, working correctly, and to fix bugs.
7. How Data Is Used
Data accessed by the App is used only for the following purposes:
- Connecting the App with your WordPress site and authenticating your access.
- Reading orders, products and related data from your store.
- Calculating and displaying reports and statistics for you inside the App on your device.
- Ensuring the security, stability and proper functioning of the App (technical diagnostics only).
We do not use your orders, products, or customer data for our own analytics, profiling, or marketing.
8. Data Storage and Retention
- On your device: WordPress credentials and report data are stored only on your device in the App and its local cache. This data remains there as long as it is needed for the App to function or until you uninstall the App or clear its data.
- On our side: we do not intentionally store your WordPress orders or customer data on our servers. Technical logs, if any, may contain limited information necessary to operate and secure the App.
- Retention: locally stored data is removed when you uninstall the App or clear its data in system settings. Any technical logs or diagnostic data retained by us or by platform providers are kept only as long as needed for security, troubleshooting, legal, or accounting obligations.
9. Data Sharing
We do not sell your personal data or your customers data.
Data may be shared only with:
- Service providers that supply hosting, infrastructure, analytics or crash reporting, operating under data protection agreements where required.
- Platforms such as Google Play, which may independently collect diagnostics and usage data under their own privacy policies.
- Public authorities, courts or regulators, where required by applicable law or a valid legal request.
10. Security and Your Responsibilities
We take reasonable technical and organizational measures to help protect the App and its local data against unauthorized access or loss.
However, much of the security depends on how you protect your device and your WordPress credentials. You are responsible for:
- Using a secure screen lock (PIN, password, biometric, etc.).
- Not sharing your unlocked device or credentials with unauthorized persons.
- Using strong, unique passwords or application passwords for your WordPress site.
- Enabling HTTPS on your store whenever possible.
- Complying with applicable data protection laws (such as GDPR) as the controller of your customers data.
If someone gains access to your unlocked device, they may be able to view order and customer data displayed in the App.
11. Children
The App is intended for business users (store owners and administrators) and is not directed to children under 16. We do not knowingly target or market the App to children.
12. Your Rights
With respect to any personal data we process as a controller (for example billing or account data related to purchases), you may have rights under applicable law, such as access, correction, deletion, restriction, or objection.
For customer data stored in your WordPress site and processed through the App, you act as the controller. Your customers should contact you directly to exercise their rights. We may assist you where legally required and technically feasible.
13. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be indicated by a new “Last Updated” date at the top. In the case of significant changes, we may also provide additional notice inside the App or on our website.
Continued use of the App after changes are published means you accept the updated Privacy Policy.
